Excel seating chart template

An Excel seating chart template usually means a spreadsheet you can sort and filter. Build assignments here, export CSV, open in Excel or Sheets. No macro pack, no .xlsx email drip. If you live in spreadsheets, this is your bridge.

Seating tools help you arrange guests — not a venue floor-plan CAD service or a wedding planner contract.

When to use — and when not to

When to use

Your venue wants a spreadsheet; parents only trust Excel; you need pivot-friendly columns.

When not to

You refuse spreadsheets entirely — use print/CSV less. You need Power Query wizardry — build that after export.

Assumptions

Export columns: Name, Side, +1, RSVP, Notes, Table. Flat table — no merged cells.

Worked examples

Input: export after 90 guests seated.

Output: seating-chart.csv opens clean in Excel.

Keep UTF-8 if you have accented names.

Input: filter Table = 4 in Sheets for place cards.

Output: eight names for that table.

Do not merge cells if you plan to re-import.

How it works

  1. Assign guests on the board.
  2. Export CSV.
  3. Open in Excel or Google Sheets.
  4. Sort/filter as you like; if seats change, edit here and re-export (or edit the sheet and treat it as master carefully).

Common traps

  • Hand-built CSV in Notepad breaks on commas inside notes — export from the tool.
  • xls vs csv: CSV is the durable interchange.
  • Two masters (sheet + board) will drift — pick one source of truth each day.
  • Macros from random template sites are a security smell.

FAQ

We export CSV, which Excel opens. That is the durable path.
